Company Stamps for Malaysian SMEs: What to Put on Yours

We re-cut more company stamps than we'd like because the first one had a typo, an outdated address, or crammed in details nobody ever reads. A company stamp in Malaysia is a small, cheap item — but it shows up on invoices, delivery orders and bank paperwork for years, so getting the wording right the first time saves everyone a reorder. Here's what actually belongs on one, what to keep separate, and how to choose between a self-inking body and a traditional pad.

What actually belongs on your company stamp

Keep the company stamp malaysia businesses order simple: registered company name exactly as printed on your SSM (Suruhanjaya Syarikat Malaysia) certificate, your registration number, and your registered or operating address. That's it for most SMEs. We've seen owners try to squeeze in a phone number, email, website and a tagline — the stamp gets too busy, ink fills in the small text, and after a few hundred impressions it's unreadable. If contact details matter on the document, that's what your letterhead is for.

Pull every detail straight off your SSM certificate rather than typing from memory. A Sdn Bhd incorporated after 2017 has a registration number in the new format (e.g. 202501012345 (1234567-X)); a sole proprietorship or partnership has its own SSM business registration number. Whichever applies to you, match it character for character — a stamp that doesn't match your bank's records on file causes more delay than it ever saves.

A self-inking company identity stamp — one die, used daily, built to outlast a traditional rubber stamp under heavy use.

Self-inking vs a traditional stamp with a separate pad

A self inking stamp malaysia suppliers sell (think Shiny or Trodat-style bodies) has the ink pad built into the handle — press down, the die flips through the pad and back, and it's ready again immediately. One pad lasts a few thousand impressions before it needs a re-ink. For a counter that stamps dozens of receipts, delivery orders or bill book copies a day — a café, a workshop, a small trading office — this is the easier choice: faster, and it doesn't leave a loose ink pad rolling around a drawer.

A traditional stamp with a separate ink pad costs less upfront and lets you switch ink colour on the same pad (handy if you want the company name in black but a "PAID" die in red). It's fine for a stamp used occasionally — once or twice a day, or stored for end-of-month paperwork. If you're only ordering one stamp and using it constantly, go self-inking; if you're ordering several dies for occasional use, the traditional pad is the more flexible and economical setup.

Keep action dies separate from your company identity stamp

The mistake we see most: businesses try to combine the company name with a "PAID" or "RECEIVED" line on one die. The problem shows up the first time your address changes or the ink wears unevenly — you're reordering the whole thing instead of just the worn part. Order the company identity stamp on its own, then order separate dies for the actions you repeat:

  • PAID or RECEIVED WITH THANKS — for invoices and bill book duplicates
  • ORIGINAL / DUPLICATE / TRIPLICATE — if you still run carbon-copy paperwork
  • Signature replica or "Authorised Signature" — for staff who sign off deliveries but shouldn't hold the company chop
  • Date stamp — adjustable, for anything that needs a received-on or checked-on date

If your business still runs on carbon-copy paperwork, this pairs directly with our NCR bill book guide — a PAID die stamped on the customer's duplicate, right next to your company stamp, is the simplest proof-of-payment trail a small counter can keep.

When a stamp actually matters

Malaysia doesn't have a blanket law requiring a company chop on every invoice or delivery order. In practice, though, several counterparties treat it as standard: banks when you open or operate a corporate account, some government counters when you submit forms, and plenty of customers or suppliers who simply won't release payment or sign off a DO without a stamp next to the signature — it's convention more than law, but it's a convention that moves your paperwork faster.

Keep this separate in your head from a company chop used for everyday admin and a common seal — a formal metal seal some Sdn Bhd companies adopt under their constitution for specific documents like share certificates or board resolutions. Most small and mid-sized businesses never need a common seal; the rubber or self-inking stamp covering invoices, DOs and bank forms is a completely different, much more common item. If you're unsure whether a specific document needs a stamp, an invoice stamp, or a seal, ask your bank, company secretary or accountant — we print what you need, but we don't give legal advice on when it's required.

Order it once, order it right

A stamp is a small order, which is exactly why it's easy to rush. A short checklist before you submit the artwork:

  • Confirm the company name, registration number and address against your actual SSM certificate — not memory, not an old letterhead
  • Keep the company identity die separate from action dies like PAID or signature, so a worn die doesn't force a full reorder
  • Choose self-inking for daily, high-volume use; a traditional pad for occasional use or when you need to swap ink colours
  • Pair it with a matching letterhead and envelope set so the registered details on your stamp, your invoices and your correspondence all agree
  • Proof the artwork before it's cut — remaking a die for a typo costs more in time than getting it right once

We print self-inking stamps, traditional dies, letterheads and the rest of a business's paper trail as one order, so the wording matches across every piece. If you're setting up a new entity or just tidying up what's on your current stamp, send us the SSM certificate and we'll lay it out correctly the first time.

  • PAID(已付款)或RECEIVED WITH THANKS(已收款致谢)——用于发票与单据簿副本
