Every RFQ, tender submission and cold introduction to a new buyer eventually hits the same question: "send us your company profile." A PDF attachment answers it. A well-made printed company profile answers it and does something the PDF can't — it sits on a desk, gets passed to a boss, and signals that you're an established operation worth the paperwork of onboarding as a vendor. We print these for manufacturers, contractors, agencies and trading companies across the Klang Valley, and the pattern is consistent: the companies that win more tenders usually have the better-organised profile, not just the better price.

What a company profile actually needs to do

A company profile is a sales document disguised as a reference document. It needs to answer, in order: who you are, what you're licensed or certified to do, what you've already delivered, and how to reach the right person. Buyers — especially procurement staff screening a shortlist — skim before they read, so the structure matters more than the prose. A profile that opens with a mission statement and takes four pages to mention what you actually sell loses the reader before the pitch starts.

The order that works best in practice: a one-page cover with your logo and tagline, a short "who we are" (three to five sentences, not a page), your licences and certifications up front if you have any (CIDB, Halal, ISO, SSM registration), a project or client gallery with real photos, and a back page with every contact channel including WhatsApp. If your company profile is going into a government or corporate tender, put the registration number and licence class on the second page, not buried at the end — evaluators check that first.

Booklet, folder or profile — pick the right format

These three get confused constantly, and using the wrong one wastes money. A company profile is short (usually 8–16 pages), fixed content, reprinted rarely — it's your identity document. A booklet is longer-form and content-heavy: product catalogues, service menus, annual reports, training material — anything where the reader needs to browse multiple sections. A folder is not a document at all — it's a pocketed cover you slide loose inserts into, which is the right call when your price list, project sheet or certificate changes more often than your cover design.

If you're not sure which fits, ask what changes first: your service list or your brand story. Service list changes often → use a folder with loose inserts you can reprint cheaply in small runs. Brand story is stable and content is meant to be read start to finish → a booklet. Need one fixed, authoritative document to attach to every tender and introduction email → a company profile.

Paper, binding and finish — what buyers notice

  • Paper weight — 157gsm to 250gsm art card for covers reads as "serious"; anything under 120gsm feels like an internal memo, not a company document.
  • Binding — staple-bound (saddle stitch) works up to about 40 pages and keeps cost low; perfect binding (glued spine) looks more premium for 40+ pages or annual-report-style profiles.
  • Finish — matt lamination on the cover resists fingerprints and looks more corporate than gloss; spot UV on your logo is a small upgrade that photographs well when someone posts your booth setup on LinkedIn.
  • Page count — keep it even (multiples of 4 for saddle stitch) or your printer will pad it with blank pages, which looks like an oversight in a document meant to look precise.

The mistakes we see most often

Three come up on almost every reprint job. First, out-of-date project photos — a profile still showing a 2022 site three renovations ago undercuts everything else in it. Second, no consistency with the rest of your brand: if your business card uses one logo file and your profile uses another, slightly different one, it reads as sloppy to anyone comparing the two side by side. Third, ordering too few copies — profiles get handed out, filed, and lost inside client organisations faster than owners expect; running out mid-tender-season means an expensive small reprint at the worst time.

实务上最有效的顺序是:印有 Logo 与标语的封面、简短的「关于我们」(三到五句话,不是一整页)、若有执照或认证就放在前面(CIDB、清真认证、ISO、SSM 注册)、附真实照片的项目或客户案例,以及列出所有联系方式(包含 WhatsApp)的封底。如果你的公司简介要用于政府或企业投标,注册号码与执照类别应放在第二页,而不是埋在最后——评审第一个查的就是这个。

画册、文件夹还是公司简介——选对格式

这三者经常被混淆,选错格式就是白花钱。公司简介篇幅短(通常 8 到 16 页)、内容固定、很少重印——它是你的身份文件。画册篇幅较长、内容较重:产品目录、服务项目、年报、培训教材——任何需要读者浏览多个章节的内容。文件夹则完全不是一份文件——它是插袋式的封套,用来放会更换的散页,当你的价目表、项目单张或证书比封面设计更换得更频繁时,这才是正确的选择。

如果不确定该选哪一种,先问自己:先变的是服务清单还是品牌故事?服务清单常变 → 用文件夹搭配散页,小批量重印成本低。品牌故事稳定、内容要从头读到尾 → 用画册。需要一份固定、权威、附在每次投标与开发信里的文件 → 用公司简介。

纸材、装订与加工——买家会注意到的细节

  • 纸张厚度——封面用 157gsm 到 250gsm 的美术纸看起来「够正式」;120gsm 以下会让人感觉像内部备忘录,而不是公司正式文件。
  • 装订方式——骑马钉适合 40 页以内、成本较低;40 页以上或年报式的简介用锁线胶装(胶装书脊)会显得更高档。

几乎每次重印都会遇到这三个问题。第一,项目照片过时——简介里还放着三次翻新之前、2022 年的工地照片,会拖累整份文件的可信度。第二,与其他品牌物料不一致:如果你的名片用的是一个 Logo 档案,简介用的却是另一个略有差异的版本,摆在一起对比时会显得很不专业。第三,印量订得太少——简介会被分发、归档、在客户公司内部遗失,速度往往比老板预期的快;在投标旺季用完,临时小量加印既贵又赶不上时间。
