Year-End Corporate Gifts: Calendars, Notebooks and Red Packets That Keep Your Brand on the Desk

Every year we get the same rush of enquiries in late September and October: companies realising Chinese New Year and year-end gifting season is closer than it looks, and calendar printing in Malaysia has a real production queue behind it. A desk calendar that sits on a client's table from January to December is one of the few marketing items with a guaranteed 12-month impression count — no ad spend, no algorithm, just your logo in front of them every time they check the date. Here's how we help clients plan this properly instead of scrambling in December.

Why a calendar still earns its place on the budget

Digital ads get scrolled past in half a second. A desk calendar gets glanced at dozens of times a week for a full year, sitting in a spot the recipient chose themselves. It's also one of the few gifts a business can hand to a client, vendor and staff member alike without it feeling mismatched — a wall calendar for the office pantry, a desk calendar for the manager's table, a wire-o notebook for the account executive who actually takes notes in meetings with you.

Desk calendar, wall calendar or wire-o notebook — pick by who receives it

We get asked "which one should we order" more than any other question in this category, and the honest answer depends on the recipient, not the trend:

  • Desk calendars (flip-block or standee) — best for clients and decision-makers. They sit on a desk in direct sightline, and the block format gives you 12 separate print faces to rotate product shots, promotions or a monthly tip.
  • Wall calendars — best for offices, workshops, retail counters and warehouses where several staff or visitors see the same wall. Cheaper per-piece at volume because artwork repeats less.
  • Wire-o notebooks — best paired with a calendar as a set, or given alone to staff and frequent meeting contacts. They get used daily, which means your branding on the cover gets seen well beyond December.
  • Money packets (ang pow / duit raya) — for Chinese New Year, these are handed out, not kept, but they travel — a printed money packet gets seen by family members, kept in wallets, and reused as a small keepsake far more than a flyer ever would.

If budget only stretches to one item, we usually steer clients toward the desk calendar for top clients and a lower-cost wall calendar or notepad for the wider list — you don't need every recipient on the same tier.

Notepads cost less per piece than a bound notebook and are a practical fallback for a longer gift list.

Money packets need their own timeline

Money packet orders behave differently from calendars. Design is usually simpler — a logo, a festive motif, foil or spot UV if the budget allows — but the deadline is tighter and less forgiving, because Chinese New Year falls on a fixed date and there's no "we'll use it next month" fallback. If Chinese New Year is in late January or early February, we tell clients to lock artwork by the second week of December at the latest; foil finishing in particular needs extra plate-making time that a plain digital print job doesn't.

Lead times: work backwards from the handover date

The mistake we see most often is planning from "when do we want to start ordering" instead of "when does this need to be in the recipient's hands." Work backwards:

  1. Decide the handover date — a year-end dinner, a CNY open house, or simply "before clients close for the holidays."
  2. Subtract distribution time — if you're mailing or courier-ing to branches or clients outside Klang Valley, add 3–5 working days.
  3. Subtract production time — calendars with block binding and multiple print faces typically need longer than a single-sheet notepad; ask for a specific date, not "a few weeks."
  4. Subtract artwork approval time — build in at least one round of revisions, especially if multiple stakeholders need to sign off on a company calendar.

Working this out in September rather than late November is the single biggest factor in whether a gifting order goes smoothly or turns into a rush job at a rush price.

A small add-on that pays for itself

A printed appreciation certificate or a small printed voucher tucked into a client's gift set costs little next to the calendar itself, but it turns a generic gift into something that reads as deliberate — useful for your top 20–30 accounts even if the wider list only gets the standard item. We've also started printing a small QR code on the calendar's back cover or the notebook's inside page linking to a WhatsApp chat or a seasonal promotion — it's a low-cost way to connect a physical gift back to a digital conversion, and it works well with our social media marketing service if you're running a matching year-end campaign.

A printed certificate or appreciation note is a cheap upgrade for your top-tier client gifts.

Quantities and per-piece cost

Calendars and money packets both drop sharply in per-piece price once you cross a few common break points — usually around 100, 500 and 1,000 pieces, because plate and setup costs get spread across more units. If your list sits just under a break point, it's often cheaper to round up and keep the extras for new clients or staff who join mid-year than to reorder a smaller batch later at a worse rate. This is the same logic covered in our guide on printed company profiles for B2B deals — print jobs with real quantity tiers reward planning ahead, not ordering exactly what you count today.

Where to start
