Every bill book we print carries a paper trail that outlives the sale — the customer's copy, the office copy, sometimes a driver's copy for delivery. Malaysian SMEs still run a huge share of daily transactions on these NCR bill books, and for good reason: no power cut, app outage or forgotten password can erase a signature written on paper. If you're ordering your first set, or reordering the same book you've used for years without checking what's actually on it, here's what we walk clients through before anything goes to print.

What "NCR" actually means

NCR stands for "no carbon required." The back of one sheet is coated with a dye, the front of the sheet beneath it is coated with a clay that reacts to that dye — so pressing a pen (or a delivery rider's biro) on the top copy transfers the writing straight through to the copies underneath, without a loose carbon sheet to lose or smudge. It's the same chemistry banks and clinics have used for decades, just printed with your company details, your numbering and your logo instead of a generic template bought off a shelf.

2-ply or 3-ply — how many copies do you actually need

Most retail counters and service invoices only need 2-ply: one copy tears out for the customer, one stays bound in the book for your accounts. Businesses with a delivery step in between — F&B suppliers, hardware and building material traders, anyone whose goods change hands before payment is confirmed — usually want 3-ply, so a driver or warehouse copy exists independently of the invoice that eventually reaches accounts. Going 3-ply "just in case" when you never actually use the third copy is wasted paper on every single book; go 2-ply if your workflow genuinely only needs two hands on the document.

What has to be on the page, beyond your logo

A bill book that looks tidy but is missing the basics will cause you problems the day an auditor, a bank or an unhappy customer asks to see it. The non-negotiables:

  • Sequential numbering that continues from your last book — never restart at 1 on a reorder. Gaps or repeats in bill numbers are the first thing an auditor flags.
  • Full company details — registered name, business registration number, address and contact, matching what's on your SSM registration.
  • Clear item, quantity, unit price and total columns, wide enough that handwriting doesn't cramp into illegibility by line four.
  • A terms line — payment terms, return/exchange policy, or "goods sold are not refundable," whichever applies to your business.
  • Perforation on the tear-off copy so it detaches cleanly instead of ripping into the next page.

The rest of the paper trail

A receipt book rarely travels alone. Most of our bill book orders go out together with a self-inking company stamp — a signature alone can look informal to a bank or a cautious customer, and a stamp with your company name (or a "PAID" die) finishes the document in one motion instead of a scrawled initial. A short checklist before you order

  1. Decide 2-ply or 3-ply based on who actually needs a copy in hand — not habit.
  2. Confirm the starting number for a reorder so numbering has no gap or overlap with the last book.
  3. Supply your logo as a vector file (AI, EPS or PDF) if you have one — it prints sharper than a screenshot pulled off your website.
  4. Double-check the registered company name and business registration number against your SSM certificate, not your old signage.
  5. Pick a book size that fits your actual counter or delivery bag — A5 is common for retail, a smaller pad suits mobile riders.
  6. Ask about reprint lead time up front, so you're never caught mid-week with an empty book and a queue of customers.

Getting your first (or next) batch printed

Most of our repeat bill book clients order once, then reorder the identical spec every few months without needing to redesign anything — we keep the artwork and last numbering on file so a reorder is a WhatsApp message, not a new job. 「NCR」到底是什么意思

NCR 意思是「无需复写纸」(no carbon required)。上一张纸的背面涂有染料层,下一张纸的正面涂有会与染料反应的显色层——所以在最上面那联用笔(哪怕是送货员随手一支原子笔)签字,字迹会直接透印到下面几联,不需要另外夹一张容易滑掉、容易糊掉的复写纸。这跟银行、诊所用了几十年的化学原理一样,只是印上了你公司的资料、你的编号与你的品牌标志,而不是随便买来的通用模板。

2 联还是 3 联——你到底需要几份

大部分零售柜台与服务业发票只需要 2 联:一联撕给客户,一联留在簿子里供入账。中间隔着一道送货流程的生意——餐饮供应商、五金建材商,任何货先出、款后到的生意——通常需要 3 联,让送货员或仓库联独立于最终进账务的那一联存在。如果你根本用不到第三联,「保险起见」印 3 联只是每本都在浪费纸;如果流程真的只需要两方过手,2 联就够。

除了标志,页面上必须有的内容

一本外观整齐、却漏了基本要素的单据簿,会在稽查员、银行或不满的客户要求查看时给你带来麻烦。以下是不能省的部分:

  • 连续编号,且接续上一本的号码——重印时绝不从 1 重新开始。单据编号有断层或重复,是稽查最先盯上的问题。
  • 完整的公司资料——注册名称、商业注册号、地址与联络方式,须与 SSM 注册资料一致。
  • 清晰的品项、数量、单价与总额栏,栏位要够宽,别让手写字到第四行就挤到看不清。
  • 条款说明——付款条件、退换货政策,或「货物售出概不退换」,视你的业务而定。
  • 撕取联要有打孔线,才能整齐撕下,不会连带撕坏下一页。

纸质记录的其他部分

下单前的简单清单

  1. 根据谁真的需要拿到一联在手来决定 2 联或 3 联,而不是照习惯下单。
  2. 重印前确认起始编号,让新一本与上一本的编号不断层、不重叠。
  3. 如果有向量档(AI、EPS 或 PDF),提供标志原档——比从网站截图印出来更清晰。
  4. 核对注册公司名称与商业注册号,以 SSM 证书为准,而不是旧招牌上的字。
  5. 选择符合柜台或送货包实际尺寸的簿子——A5 是零售常见尺寸,送货员则适合更小的本子。
  6. 提前问清楚重印交期,才不会在周中簿子用完、客户排队等着开单时措手不及。
