Letterheads: the workhorse most companies get wrong

Most SMEs either skip a proper letterhead entirely (using a Word template with a logo slapped on top) or overdesign one that photocopies badly. The fix is simpler than either extreme. Use 80–100gsm woodfree or bond paper — heavy enough not to feel flimsy through an envelope, light enough to run through office printers and fax machines without jamming. Keep the printed area to the top 3cm and bottom 2cm of the page; leave the middle clear for your actual letter content. If you send a lot of formal correspondence — bank letters, tender submissions, audit confirmations — order letterhead and matching envelopes together so the two never end up looking like they came from different companies, which happens more often than you'd think when they're printed at different times by different vendors.

Folders: the silent salesman in every pitch meeting

A branded folder does one job: it holds your proposal together and tells the prospect, before they've read a single page, that you're organised. We print two formats for most clients — a simple pocket folder (single inside pocket, business card slot) for quick handouts, and an L-shape folder for documents that need to stay flat and dust-free, which matters if your proposal sits in someone's bag for a week before they get to it. Matte lamination is worth the small upcharge over plain print; it resists fingerprints and doesn't glare under office lighting during a presentation. If your company pitches regularly — property agencies, insurance agents, B2B suppliers — a corporate folder printing run pays for itself the first time it wins you a second meeting.

Notepads: cheap to make, hard to throw away

Branded notepads are the most underrated item on this list because they're the cheapest and the stickiest — literally, if you go with sticky-top pads instead of glue-bound ones. A notepad sits on someone's desk for months, gets used in meetings, and puts your logo in front of them dozens of times without ever feeling like an ad. We recommend 70–80gsm paper (thin enough to tear cleanly, thick enough not to show ink bleed-through) and a simple footer strip with your contact details rather than a busy header — nobody wants to write around your logo. Notepad printing in batches of 500–1,000 sheets (split across 50–100 pads) is usually the sensible minimum for this to be cost-efficient per pad.

Arch files: the one nobody budgets for until they need it

Branded arch files rarely make it onto a first stationery order, and then six months later a client asks for an office tour or an auditor asks to see filed records, and every folder on the shelf is a mismatched supermarket-bought lever arch. A set of branded arch files costs little more than the generic version and makes your records room look like it belongs to a company that has its act together. If you're setting up a new office or renewing your arch file stock, order it alongside your other stationery so the spine colour and logo placement match across the shelf — small thing, but it's exactly the kind of small thing this whole category is about.

What to order and how much

  • Letterhead + envelope — start at 500 sheets / 500 envelopes; most SMEs use this in 6–12 months depending on how much physical correspondence they still send.
  • Folders — order in the same quantity as your realistic pitch volume for a quarter, not a year; folder designs get refreshed more often than letterheads as services or branding evolve.
  • Notepads — 50 pads is a sensible minimum run; larger offices or trade-show giveaways can go to 200+.
  • Arch files — order per shelf, not per department; count the files you actually have on record shelves today and round up by 20%.

Getting the set to actually match

The single biggest failure mode we see isn't bad print quality — it's a stationery set that was built up piece by piece over two years, from three different printers, so the "brand blue" on the folder doesn't match the "brand blue" on the letterhead.
